Volute Moderator Guide

Volute combines the exciting, collaborative nature of an online community with world-class learning providers and subject matter experts, to support the workforce on the job, as work happens.

1. Manage Communities & Topics

Volute is organized into grouped Discussion topics, called Communities that your members can subscribe to.

​Manage Communities: 

A Community, also known as a Discussion group, is a way to organize and bundle Discussion topics. A Community can consist of 1 or many Discussion topics. Members assigned as Community Moderators can add Discussions and help manage the Community.

  • Select Manage in your Discussions to manage Communities.

  • Select Open to view all Discussion topics in a Community.

  • Use the More menu to share, edit, or delete a Community.

  • Select Add Community to add a new Discussion group, you must be an Account moderator to access this feature.

Tip: Set a value and add a custom image or video to brand your Community.

Manage Discussions

A Discussion is a social forum to connect and engage with like-focused members in a peer-learning model to address real challenges in the flow of work.

  • From your Community, select Open to View, Add, or Manage all Discussions in the Community.

  • Add a new Discussion topic by selecting Add Discussion Topic, you must be a Community moderator to access this feature. Create your Discussions in reverse order you want them displayed to members, the newest will display at the top.

  • Use the More menu to Share, Edit, or Delete a Discussion topic.

Tip: Set a Discussion topic to Open if you want all members of the Community to have access. Set it to Private if you want only specified members of the Community to have access.

2. Post to your Discussion Topics

Create engagement before inviting members by adding posts, comments, and reactions to your Discussion topics.

  • Share web links, images, and documents or even invite members to a video Meet Up, when you are ready to share your post, select the Post button.

  • Select Comment to reply to a post, and Reply to reply to a comment on a post.

  • Select Like to react to a comment or post.

Tip:  You can make posts and comments searchable by using the "#" symbol followed by relevant text.  You can mention members by entering the "@" symbol followed by the member's name, this will send them a notification.

3. Share Communities & Topics 

Volute is an invitation-only platform.  Share your Community and Discussions with members. 

​Share a Community: 

Sharing a Community will grant members access to subscribe to all Open Discussion topics in the Community. Members will receive an invitation email letting them know you have invited them to the Community. Sharing a Community with other moderators will allow them to help you create and manage Discussions in this Community.

  • Select Manage on the Discussion page, then Open to access your Community.

  • Select Share this Community

  • Select the Share As drop-down to the right of a member, choose a role for the member, then select Save. Email invitations will be sent as soon as you save.

  • Use the Bulk Selection drop-down to share with multiple members with the same role at once, choose a role, then select Save.

  • Select Share with New Members, then select Add Individuals or Import from CSV.

    • When adding individuals, choose a role then save​. The email invitation will be generated once you save.

    • When Importing from a CSV, once the upload is complete, you can now share with members. Members will not be invited until you choose a role and save.

Tip:  Enter a tag in search when using bulk select to bring back all members with that tag.

​Share a Discussion Topic: 

Sharing a Discussion will grant members access to subscribe to it. Members will receive an invitation email letting them know you have invited them to the Discussion. When sharing a Discussion members will also be able to subscribe to any other open Discussions in your Community. Sharing a Discussion with other moderators will allow them to help you manage this Discussion.

  • Navigate to a Discussion.

  • Select Share this Discussion

  • Select the Share As drop-down to the right of a member, choose a role, then select Save. Email invitations will be sent as soon as you save.

  • Use the Bulk Selection drop-down to share with multiple members at once, choose a role, then select Save. Email invitations will be sent as soon as you save.

  • Select Share with New Members, then select Add Individuals or Import from CSV.

Tip:  You must share Private discussions for members to gain access to them. We recommend keeping all Discussions private until you are ready for members to be invited. Changing a private Discussion to open will send all members in the Community an invitation to the Discussion.

Tip:  Sharing as a Moderator or Member Expert will display a visual indication on all posts and comments added by the member. 

4. Organize Video Conference Meet Ups

Organize live video conference Meet Ups with your members.

  • Select the Meet Up icon from the post input in the Discussion.

  • Provide a title, agenda, date, time, and duration.

  • Invite members or turn on Allow Open Registration to invite all members of the Discussion to register for your Meet Up.

  • Save and Post your Meet Up. Once you post, invited members will receive a calendar invitation. If the Meet Up is open, any member of the Discussion will receive an invitation to register for the Meet Up.

Tip:  Only Discussion moderators can create Open Registration Meet Ups. Members can register until the total number of spots are filled.
